Racktora ("I", "we") respects your privacy. This policy explains what personal information I collect through this website, why, and what your rights are.
Who I am
Racktora is a sole trader business operated by Riley Chiswell, based in Frimley, Surrey, UK.
I am the "data controller" for the information described below. If you have any questions about this policy or your information, contact me at riley@racktora.co.uk
What information I collect
I only collect the information you choose to send me through the contact form on this website. This may include:
Your name
Your company name
Your email address and phone number
The location of the site or job
A description of the work or problem
Timing, urgency and any access arrangements you give me
Whether you would like a call before receiving a quote
You should not include sensitive information such as passwords or payment details in the form. I will never ask for these through it.
How I use your information
I use the information you send me to:
Reply to your enquiry
Prepare and send you a quote
Arrange a call or site visit, if you ask for one
Carry out and keep records of any work you go on to book
I do not use your details for unrelated marketing, and I do not sell or rent your information to anyone.
Information from customer jobs
When I carry out work for you, I may receive or create information about your systems, such as device lists, network diagrams, configuration details and access credentials.
I use it only to carry out and support the work, and keep it secure, using a password manager and encrypted storage.
I don't share it except where needed to do the job, and all credentials and documentation are deleted at the end of the job
Why I'm allowed to use it (lawful basis)
Under UK data protection law, I rely on:
Taking steps at your request before a contract, when you ask for a quote or call
Contract, if you go on to book work with me
Legitimate interests, in keeping reasonable business records and responding to enquiries, where this doesn't override your rights
Legal obligation, where I must keep records, for example for tax and accounting
Who I share it with
I only share your information where necessary to run the website and my business:
Squarespace, which hosts this website and processes form submissions on my behalf. Its own privacy policy explains how it handles information.
My email and business tools - Microsoft 365, used to receive and reply to your enquiry.
Professional advisers or authorities, such as my accountant or HMRC, where the law or my business requires it.
Transfers outside the UK
Squarespace and some other service providers may process information outside the UK, including in the United States. Where this happens, the transfer is covered by safeguards required by UK data protection law, such as approved contract terms or an adequacy arrangement. See the provider's privacy policy for details.
How long I keep it
Enquiries that don't lead to work: I keep them for up to 12 months then delete them.
Customers I carry out work for: I keep records of the work and related correspondence for as long as needed for the job, and for 6 years where required for tax and accounting purposes.
Cookies and website analytics
This website is built on Squarespace, which uses cookies and similar technologies to make the site work, keep it secure and, depending on its settings, collect basic visitor statistics such as pages viewed and approximate location.
You can control or delete cookies in your browser settings. Blocking some cookies may affect how the site works.
Your rights
Under UK data protection law, you have the right to:
Ask for a copy of the personal information I hold about you
Ask me to correct information that is wrong or incomplete
Ask me to delete your information, in some circumstances
Ask me to restrict or object to how I use it, in some circumstances
Ask for your information in a portable format, in some circumstances
To use any of these rights, email riley@racktora.co.uk I will reply within one month.
Complaints
If you are unhappy with how I've handled your information, please contact me first so I can put it right. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.
